Journal entries for every client’s books

Record journals by hand or import them from a spreadsheet, catch mistakes before they reach the ledger, and put any change back with one click.

Draft, post and correct

  • Save an entry as a draft and post it when it is ready.
  • Every entry is checked to balance to the cent before it is saved, with up to 200 lines per entry.
  • References are numbered for you (JE-0001, JE-0002…) unless you type your own.
  • Void a posted entry to take it out of the books while keeping it on record.

Import from a spreadsheet

  • Import a CSV with Debit and Credit columns, or an Amount column with DR or CR.
  • Rows with the same reference become one entry; dates can be YYYY-MM-DD, DD/MM/YYYY or DD-Mon-YYYY.
  • Entries that do not balance on their own are squared off against an offset account you choose.
  • See every entry and its totals in a preview before anything is saved. A file that is already in the ledger is refused.

Mistakes caught before they post

  • A warning when an entry has the same date, accounts and amounts as one already in the ledger.
  • A reference already used by another entry is refused.
  • Entries must fall in an open financial year; closed years cannot be changed.
  • Locked accounts, and bank accounts in a month whose statement has been signed off, cannot be posted to.

Every change on record

Each entry keeps its full change history: who created, edited, posted or voided it, when, and what changed. Any change can be undone from the History tab, and a whole spreadsheet import can be undone in one step.

The journal downloads as CSV or PDF, for the period and account you are looking at.

Bring your practice onto PracticeBooks

Each firm gets its own PracticeBooks organisation. We set it up with an administrator account for your practice; your administrator then adds your staff and client companies. Email us to request access — tell us roughly how many staff and client companies you have.
